How often should office carpet be cleaned?

The answer is different for the lobby and the boardroom, and a single date in the calendar for the whole floor wastes money in one and ruins carpet in the other.

Vacuum office carpet daily in entrances and corridors and at least weekly elsewhere, and deep clean the whole floor by hot water extraction once or twice a year. Entrances, main walkways and break areas need attention about every three months. The right interval follows foot traffic, not the calendar.

Why one date for the whole floor does not work

Soil in an office is not spread evenly. Most of it arrives on shoes through one or two doors and is dropped in the first stretch of carpet. From there it follows people along the same routes every day: door to reception, reception to the corridor, corridor to the kitchen and the printer. Those routes are the traffic lanes, and they are where carpet goes grey and flat.

Meanwhile the carpet under a desk, along a wall or in a boardroom used twice a week gets almost none. Cleaning the whole floor on one schedule means the lanes wait too long and the quiet areas are cleaned before they need it.

The grey in a traffic lane is partly dirt and partly damage. Grit is sharp. Every footstep grinds it against the fibre and scratches it, and scratched fibre looks dull even when it is clean. That part does not wash out. So the purpose of frequent cleaning in the lanes is to remove the grit before it does the wearing. Once a lane has gone permanently shaded, cleaning improves it and cannot restore it.

A schedule by zone

Three things push every line toward the frequent end. A ground floor door that opens straight to the street. A Toronto winter, when salt and slush come in for months, as covered in how to get salt stains out of carpet. And food at desks.

Good entrance matting pushes the other way. A long run of mat, enough for several steps, cleaned or changed regularly, stops a large share of the soil before it reaches carpet at all. It is the cheapest line in any carpet budget.

If the carpet is under a manufacturer's warranty, read the maintenance terms. Some set a minimum cleaning frequency and a method, and the warranty document is what decides.

The two cleaning columns are different jobs. An interim clean is a low-moisture pass, usually encapsulation, over the lanes only. It is quick, the carpet is dry in a short time, and it keeps the lanes from standing out against the rest. It does not rinse.

A deep clean is hot water extraction: pre-spray, agitation, then a wand that sprays and recovers in one stroke and carries the soil off to a tank. It reaches down the pile and takes out what the interim passes left behind, including their own residue. An office kept on interim cleaning alone slowly builds up and then needs a heavy restorative clean.

The two work together. The full comparison is in steam cleaning vs dry carpet cleaning.

Working out of hours

Commercial carpet is cleaned when the floor is empty. Evenings and weekends give the carpet the night to dry, and nobody walks dirt onto damp fibre.

To make that work, a cleaner needs a few things settled in advance:

  • access, alarm codes, and a booked service elevator if the building requires it
  • whether the ventilation runs overnight, since moving air does the drying
  • chairs, bins and boxes lifted off the floor by staff before they leave
  • cables and floor boxes pointed out, and any raised access floor mentioned
  • somewhere to fill and empty the machine

Carpet tiles deserve a note. They are glued or tacked to the floor, often over a raised floor with power and data underneath, so they are cleaned with controlled moisture and extra dry passes. Flooding tiles lifts edges and can send water where the cabling is.

What it costs

AllCleaner's published rate for commercial carpet is $0.20 to $0.40 per square foot. Area, condition, furniture and access decide where in the range a floor lands, and the figure is confirmed before work starts. Because the lanes are a fraction of the floor, cleaning them more often than the rest costs far less than it sounds, and it is what delays the day the carpet has to be replaced.

The commercial service is set out on the professional carpet cleaning page, the method is the same hot water extraction described under carpet cleaning, and the full rate card is on pricing. Call 647-697-7435 with the floor area for a figure.

Short answers.

How often should office carpet be professionally cleaned?
As a starting point, deep clean the whole floor by hot water extraction once or twice a year, and clean entrances, corridors and break areas more often, around every three months. The right interval depends on foot traffic, weather, and whether food and drink are allowed at desks.
How much does commercial carpet cleaning cost in Toronto?
AllCleaner's published rate for commercial carpet is $0.20 to $0.40 per square foot. Where a job lands depends on the area, the condition of the carpet, how much furniture has to be worked around, and access. The figure is confirmed before work starts.
Can office carpet be cleaned outside business hours?
Yes. Commercial carpet is normally cleaned in the evening or at the weekend so it can dry before staff return. Tell the cleaner about building access, alarm and elevator arrangements, and whether the ventilation runs overnight, because moving air is what dries the carpet.
